Protection of Personal Data — Privacy Notice and Consent
These texts explain how your personal data is processed when you visit our clinic and the scope of your acceptance. Reading these texts via the link sent to you by SMS and voluntarily sharing the code sent to you with our clinic means that you have read and accepted all of the texts below. You may withdraw your acceptance at any time.
A.1 · Privacy Notice — How We Use Your Personal Data
This notice explains, in plain language, how we collect and use your personal data. It is based on the Turkish Personal Data Protection Law No. 6698 (“KVKK”).
What data we collect. Your name, ID and contact details; appointment records; payment and invoice details; and your health information — examinations, diagnoses, treatments, medical images, prescriptions and the products used in your care. Where the law requires it, we may also keep records of calls and written messages.
Why we use it. To examine, diagnose, treat and follow up on your care; to keep your patient file; to manage appointments and stay in touch with you; to issue invoices and keep our accounts; to meet our legal record-keeping and reporting duties; to keep our records and systems secure; and to establish or defend legal rights where necessary. Your health data is handled only by people bound by professional secrecy, and only as far as your care requires.
How we collect it. From the forms you fill in and the information you give us; from your ID; from medical examinations and procedures; through our patient management software and appointment platforms; by phone, email and messaging; and through the official health systems we are required to use.
Who we share it with. Only where necessary: public authorities, when the law requires it; our accountant, limited to what is needed for tax and invoicing; the companies that provide our software, email and hosting, which process data on our behalf and under our instructions; and other providers whose services are essential for your care.
The appointment platform. We use DoktorTakvimi (Docplanner Teknoloji A.Ş.) for appointments, reminders and patient feedback. It processes your appointment details on our behalf. If you also give the platform your own consent, it may use your data for its own purposes, under its own privacy policy. If its Google Business Profile feature is used, some data may be transferred to Google in the United States — only if the conditions in Article 9 of the KVKK are met. If your data ever needs to go abroad in any other way, we will inform you separately.
Your Rights. You can ask us: whether we hold data about you; for information about it; to correct it if it is wrong; why we use it and who we share it with; and to delete or destroy it, where the law allows. If the way your data is handled causes you damage, you can claim compensation. To use any of these rights, write to us at the address above or email contact@opdrhavvagulyildiz.com.
A.2 · Communication Preferences — Consent
This form lets you choose how we may contact you, and for what purpose. There are two different kinds of contact: care-related contact — appointment confirmations and reminders, test results, follow-up after a procedure, urgent matters, which is a normal part of your medical care; and marketing contact — news, offers, new services and newsletters, which we send only if you agree.
I have read this notice, been informed, and I accept all of the following:
- Appointment confirmations and reminders;
- Medical follow-up and feedback after procedures;
- Necessary documents, test results, prescription guidance, urgent contact;
- Marketing: news, offers and information about new services.
Saying “No” to marketing does not affect your medical care in any way. You can change any of these choices, or withdraw your consent, at any time — simply write to us at the address above or email contact@opdrhavvagulyildiz.com. Please note that channels such as WhatsApp and email are never fully secure. For this reason, we keep detailed health information in our own secure systems wherever possible.
A.3 · Photos and Videos — Consent
During your care we may take photos or videos of you. Not all of them serve the same purpose, so we ask for your permission separately for each use: medical file photos — before-and-after photos used to plan your treatment, check your results and follow your healing, which are part of your medical record; academic use — images used in scientific papers, teaching or medical conferences, with your identity hidden as far as possible; and promotional use — images used on our website, social media or brochures, where you could be recognised.

- Promotional use, where I can be recognised.
Saying “No” to (b) or (c) does not affect your treatment in any way. You can withdraw your permission at any time; the withdrawal applies from that moment on. Please also note that Turkish law strictly limits medical advertising, so some uses may not take place even if you agree to them. We keep your images secure, use them only within the limits of your consent, and never upload them to general AI tools or personal cloud accounts. A.4 · Sending Data Abroad — Consent
We try to keep your personal data — especially your health data — on systems located in Türkiye. However, some of the tools we use may store data abroad, or may be accessed from abroad:
- Email services;
- Cloud-based software and data storage;
- The appointment platform (DoktorTakvimi / Google Business Profile — USA);
- Messaging apps;
- Technical support and software maintenance.
Any transfer abroad is limited: it happens only as far as the tool technically requires, we send as little data as possible, and we do not send health data that is not needed. Knowing that these tools may involve sending my data abroad, I consent to their use, and I confirm that I have read and understood this notice. I can withdraw this consent at any time; the withdrawal applies from that moment on. If you withdraw, some channels (for example certain apps) may no longer be available, and we may switch to more limited ways of contacting you. Saying “No” to channels that are not essential for your treatment does not affect your medical care.
